Refund & Cancellation Policy
Effective 27 October 2026 · Last Updated 2 November 2026
In Short
- Exploring a project with us through Blueprint, including the first discovery call, is free. Nothing here applies until you sign a Project Agreement.
- Projects are split into priced phases. You pay for work agreed and actually done, never for phases that haven't started.
- Advance payments are credited to your project, not forfeited. If you cancel, we refund whatever wasn't earned, with a written account.
- If we fail to deliver what we agreed and don't fix it, you can end the affected work and get a refund for it.
- Previews are for review only. Ownership of the work passes once it has been paid for.
This Policy explains what happens to fees, work in progress and project materials if a custom website, application, automation or other development project with RLAutomations (RLAutomations, a business operated by Ryan Llonora) is cancelled.
It applies only when a signed proposal, statement of work or other project agreement (a “Project Agreement”) includes it. If the Project Agreement sets different payment or cancellation terms, those terms apply. This Policy doesn't remove any right or remedy that the law doesn't allow us to exclude.
1. Projects Are Divided Into Priced Phases
Before paid work begins, the Project Agreement identifies the agreed phases or milestones, their prices, payment dates, expected deliverables and acceptance criteria. It also lists any approved third-party expenses and the rates or other method used to value work if a phase ends before it is finished.
Our standard schedule, unless the Project Agreement says otherwise, is 40% on signing, 30% at the middle milestone, and 30% on acceptance after user acceptance testing (UAT).
You pay for the work agreed and performed within a phase. Deciding not to continue to a later phase doesn't undo work already performed in an earlier one.
2. Advance Payments
An advance payment, including the payment on signing, is credited against the fees and approved expenses for the project. It is not forfeited just because you cancel.
If you cancel, we apply the advance payment to the amounts properly earned or incurred under this Policy, refund any remaining balance, and give you a written account showing the calculation.
A separately priced paid discovery phase, workshop or other deliverable is chargeable to the extent the agreed work has been performed, even if you decide not to go ahead with development. If you sign a Project Agreement within the credit period stated in the paid discovery offer, its fee is credited to your project. The free first discovery call is never charged.
3. Cancelling For Your Own Reasons
You may cancel future work at any time by written notice to ryanllonora@rlautomations.com. Cancellation takes effect when we receive the notice, unless you ask for a later date and we agree in writing. We will stop new work promptly and take reasonable steps to avoid unnecessary costs.
If you cancel for a reason other than an uncorrected material breach by RLAutomations, you remain responsible for:
- the agreed price of completed phases and accepted milestones;
- work actually performed on the current, unfinished phase up to the cancellation date, valued using the rates or method in the Project Agreement and capped at that phase's agreed price;
- third-party charges you approved that cannot reasonably be cancelled or recovered (for example, prepaid licenses or app store fees); and
- reasonable wind-down work you request, or that is needed to secure or hand over the project, if its rate and scope were stated in the Project Agreement.
We will not charge for future phases that haven't started, and we will never charge the same work twice, as both a completed milestone and unfinished-phase work.
Cancelling after seeing a preview doesn't make the work performed free. Previews let you review progress. Whether or not you decide to use the unfinished product, documented work performed before cancellation remains payable under this section.
4. How Unfinished Work Is Valued
For an unfinished fixed-price phase, the Project Agreement states the rates or other objective method used on cancellation. We will give you a statement of the work performed, such as dated activity records, completed components, approved changes and expenses. The charge for that phase will not exceed its agreed price unless you approved additional work in writing.
For time-based work, we charge only for time actually worked at the agreed rates, plus approved expenses, up to the cancellation date.
If the amount due is less than the payments you've made, we refund the difference. If it is more, we invoice the balance.
5. Review, Defects And Corrections
We present each milestone for review against the requirements and acceptance criteria in the Project Agreement. You have 10 business days to tell us about any material difference between the delivered work and those criteria, with enough detail for us to investigate. Unless the Project Agreement says otherwise, UAT includes two rounds of fixes.
A request for an enhancement or a change to the agreed scope is handled as a change request, with its price and schedule agreed in writing first. A defect, or a material failure to meet the agreed criteria, is handled as a correction at no additional charge.
We will have a reasonable opportunity to correct a verified material nonconformity. Accepting a milestone doesn't waive your rights about a defect that couldn't reasonably have been found during review, or any right that can't lawfully be waived. Defects found within the warranty period stated in the Project Agreement (30 days after launch, unless stated otherwise) are fixed at no cost.
6. Cancelling Because We Didn't Deliver
If you believe we have materially failed to meet an obligation in the Project Agreement, notify us in writing, describe the issue, and give us 15 business days to correct it, unless the law requires a different remedy or the issue cannot reasonably be corrected.
If we don't correct a material breach within that period, you may terminate the affected work and request a refund of amounts paid for work that wasn't performed, or for an affected deliverable that remains materially nonconforming, subject to the law and the Project Agreement. We will account fairly for conforming work already delivered and any other remedy the law requires.
Nothing in this Policy restricts your rights under the law regarding defective services, misrepresentation or other legally protected claims.
7. Pausing Or Ending Work From Our Side
We may pause work if an invoice is overdue, if materials or decisions we need from you remain unavailable, or if continuing would create a legal or security risk. Before pausing for non-payment or a client delay, we will give you written notice and at least 5 business days to resolve the issue, unless the Project Agreement states another period.
We may end a project for a material client breach that remains unresolved 10 business days after written notice, or immediately where continuing would be unlawful or create a serious security risk. We will then give you a final account on the same principles used when you cancel: payment for work actually performed and approved, unavoidable approved expenses, and a refund of any unused advance payment.
Pausing or ending a project does not transfer ownership of unpaid work.
8. Previews, Source Files And Unfinished Work
Unless the Project Agreement says otherwise, a demonstration, staging site, prototype, design preview, repository view or other work-in-progress access is provided only for review and feedback. It doesn't give permission to launch, use commercially, copy for a third party, resell, or continue developing the work elsewhere.
The Project Agreement states when ownership of, or a license to, each deliverable transfers. Unless it says otherwise, rights to use a deliverable transfer only once all fees due for it are paid. Until then we may hold back the production launch, downloadable source files, credentials and final handover materials for that deliverable.
You keep ownership of the materials you gave us. Our pre-existing tools, methods, templates and third-party materials remain subject to the ownership and licenses in the Project Agreement. If the project is cancelled, we return or make available your own materials as the Project Agreement and the law require.
9. Changes, Delays And Ongoing Services
A change in your requirements, priorities or preferred technology doesn't by itself create a right to a refund of work already performed under the agreed scope. We document any change to price or schedule before doing the changed work.
If a project is delayed on your side, the Project Agreement governs rescheduling and any disclosed costs of reserved time. We never charge an undisclosed cancellation or inactivity fee.
Optional monthly support plans start after the warranty period. If you choose one, your Project Agreement states the plan, its monthly fee, the hours included and the response time. Unused hours don't carry over to the next month, and hosting, domain and other third-party costs are billed at cost. The plan's billing, renewal and cancellation terms are set out in the Project Agreement, not by the project rules above.
10. Refund Requests And Final Accounting
Send a cancellation or refund request to ryanllonora@rlautomations.com, naming the project and the reason. We may ask for information reasonably needed to review it.
- Within 10 business days of a cancellation or a complete refund request, we send a written response or final accounting.
- We pay any undisputed refund within 15 business days after the final amount is set, by the original payment method where practical. Banks or payment providers may take longer to process it.
- Any undisputed balance you owe is due within 7 calendar days of the final invoice, unless the Project Agreement says otherwise.
Both parties will work in good faith to resolve any disputed item without delaying payment or refund of the undisputed amounts.
11. Payment Disputes
If an invoice or refund calculation looks wrong, contact ryanllonora@rlautomations.com promptly. We will review the Project Agreement, approved changes, work records, deliverables and payments with you. This doesn't restrict your right to contact a payment provider or a government agency where the law allows.
12. Changes To This Policy
A revised version of this Policy on the website does not change a signed Project Agreement retroactively. Changes affecting an active project require both parties' written agreement.
